Registration Assistant University of Galway

University of Galway, is currently recruiting for Registration Help Desk Assistants.
The role will be based in the Registry Office in Áras Uí Chathail at University of Galway
from Thursday 13th August to Friday 25th September 2026.
The Registration Assistants will work on the
Registration Helpdesk located within the Registry Office. The role involves providing
support with registration queries from new and current students, staff,
parents, external funders (SUSI and Grant Authorities) and the public.
This is a customer service role working directly
with the Registration Team under the coordination and direction of the
Registration Officer.
All staff are required to work on campus from 09:00
to 17:00, Monday to Friday.
Duties and Responsibilities of Registration
Helpdesk staff:
- Ensure accurate and complete entry of all required registration information
in line with University regulations and procedures - Update student record as directed by the Registration Team
- Print Student ID cards
- Respond to customer queries - face to face, by telephone, email and
occasionally video providing accurate, timely and courteous support. - Maintain accurate records of customer interactions including enquiries,
comments and issues - Communicate and coordinate with internal departments, including the
Fees Office, Admissions Office and College Offices (Administration and
Academics) on registration matters
Requirements
- Candidates must be available for the entire duration of the
Registration Schedule. - Demonstrate flexibility, availability, and cooperation with
Academic Administration in all aspects of the Registration process.
Education and Experience
- Knowledge of customer service principles and practices
- Proficient in Microsoft 365 (e.g. Outlook, Teams, Excel, Word), web-based
applications and browsers. - Familiarity with Windows, Android, and iOS devices is desirable.
- Strong numeracy and communication skills (written and verbal)
- Understanding of the University environment and operations

The hourly rate of pay is €16.33
Students must have completed and passed final year exams.
Students must have completed and passed their final year exams and must not be enrolled on a full-time
course that overlaps with the timeframe outlined above.
