Role Purpose

We are seeking a dynamic and organised individual to join our team as an Office Assistant. This role will play a crucial part in providing general administrative support, in a small but very busy team.

Duties & Responsibilities

General Administration Support:

  • Provide general administrative support to all team members, including assisting with tasks such as scheduling, correspondence, and document management.
  • Manage office operations by handling incoming calls, greeting visitors, and coordinating deliveries.
  • Assist in uploading content to our website www.thehardwarejournal.ie and managing Hardware Jobs platform.
  • Collaborate with the Journal team to collate and send content as needed.

Marketing Administration:

  • Assist in scheduling and posting content on various digital platforms.
  • Manage postal campaigns and circulation of membership certificates to target audiences effectively.
  • Assist in content management across multiple websites maintained by the company.
  • Support phone campaigns and other marketing initiatives as required.

CRM Support:

  • Provide support in maintaining consistency of content across all platforms.
  • Assist in sourcing new contacts and filling gaps in our CRM system.

Event Coordination:

Have involvement across all touchpoints of various events and Tradeshows. This will include responsibilities such as:

  • Travel and Accommodation
  • Hospitality
  • Liaising with Logistics and Supply Chain partners
  • Coordinating with 3rd Party Event Management Partner
  • Ensuring accuracy of data distributed
  • Assist in organising visits and promotional events to increase brand awareness.

Key Competencies & Skills

  • 2-3 years’ experience in office management, administration, or related fields.
  • Familiarity with digital marketing platforms and social media management.
  • Excellent communication and interpersonal skills.
  • Strong organisational and time management abilities.
  • Proficiency in CRM software and MS Office Suite.
  • Ability to work independently and as part of a team.
  • A proactive mindset with a willingness to take initiative and learn new skills.
  • Own transport is essential.

Ideal Candidate

The ideal candidate will have a solid background in office administration, with experience handling various administrative tasks and supporting senior leadership. You will be comfortable uploading posts, scheduling content, and engaging with followers to enhance online presence. This role is well-suited for someone seeking part-time employment with the flexibility to balance work commitments with personal responsibilities. The ability to maintain professional relationships and represent the company positively is key. Previous experience working in a membership organisation would be advantageous, as the candidate will be involved in managing membership campaigns and engaging with members on various platforms.
